How we process your data

At Bjelin, we always strive to handle and collect the least amount of data possible about our customers and visitors.
Below you will find a list of the types of data that we may need to process.

Statistics

We use the Matomo service to know how many people visit our website and anonymised statistics about visitors and behaviours.

Error logs, including information about web browsers and interaction on the website, are logged in Sentry for troubleshooting and making improvements.

Account

If you create an account with us, we store the data you provide to us (name, address, email, telephone number, etc.). You can change your details yourself by clicking on "Account" at the top right.

When purchasing

When you purchase products from us, we store delivery and invoice data in order to fulfil the order, manage warranty obligations and satisfy regulatory requirements. Card payments are handled by the Stripe service. We never process or store your card details ourselves.

When paying by invoice, we also carry out a routine credit check, which is then deleted after processing.

Cookies

When you visit the website, cookies are stored in your browser to manage login, the shopping cart and certain settings you can make on the page.  These are automatically deleted after a period of time and can also be deleted manually via the settings in your browser.

Support and warranty matters

Email conversations and documentation concerning support, warranty cases and the like are stored for two years after the case is closed, after which they are deleted.

Questions, rectifications and erasure

If you have any questions about how we process your data, or if you wish to delete the data we may have about you, please contact us at [email protected] and we will process it as soon as we can.

Please note that due to e.g., regulatory accounting requirements, we may be forced to store certain data for a period of time before we are allowed to delete it. In such cases, you will be informed of this and the data will never be used for anything other than what is required by law.

The protection of your personal data is extremely important to us. We are constantly working to improve our procedures and processes for processing your data.

This privacy policy contains information about how Bjelin processes your personal data in accordance with the European General Data Protection Regulation ("GDPR"). We encourage you to review our policies, however, as we may need to ask you for consent to process your data.

Please note that by "Bjelin" we mean all companies within the Bjelin Group: Bjelin Sweden AB, Bjelin d.o.o. and Bjelin Deutschland GmbH.

1. General

Personal data is information that, either individually or in combination with other information, can be used to identify, locate or contact a person. Examples of personal data are name, email address and telephone number.

Handling of personal data involves some form of processing, e.g. when we receive data about a customer in order to be able to deliver a product. Under section 5, you can read about why we may need to process personal data.

The data controller is the company that determines which personal data is to be requested and for what purpose. It is the responsibility of the data controller to ensure that the processing of your personal data is carried out in accordance with the General Data Protection Regulation.

2. Bjelin Sweden AB

Bjelin Sweden AB is responsible for ensuring that all obligations regarding the processing of your personal data are complied with throughout the Bjelin Group (so-called joint data controller).

3. What type of data do we process?

When you contact us by e.g. email or phone, visit our website, register an account or place an order, we process personal data. Depending on the situation, we may need to ask you for the following information:

• Name
• Email address
• Country or region
• Address
• Phone number
• Which company you work for
• Job Title
• What industry you work in
• Company website address
• Other information that you voluntarily disclose by communicating with us
• Uploaded image
• Personal identification number
• Anonymised technical data when you visit our website, such as screen resolution, country, which products you view and operating system.
• IP address

4. Information from other sources

We may also need to process other data about you, based on public information. In the case of invoice purchases, for example, we carry out a routine credit check, which is then deleted.

5. How do we process your data?

We always strive to only process personal data that is necessary to provide our service and fulfil our commitments to you. In addition, certain data may also be used for other restricted areas, in particular for recruitment purposes (see section 9).

The data you provide to us is used for the following purposes:

• Communicating with you and to respond to requests
• Carrying out our obligations in accordance with the contract or agreement with you or in accordance with regulatory requirements
• Selling our products and marketing in the form of the newsletter you accepted, which contains offers and other content that we believe you may be interested in for more personalised service.
• Support and warranty matters
• Anonymised statistics and information about how our services are used to improve our website, social media channels and the user experience of these
• Maintaining a customer record for registered users

6. Newsletter and direct marketing

If you choose to sign up for our newsletters or otherwise approve direct marketing, we may occasionally send out newsletters or other forms of direct marketing to you via e.g. email. These mailings contain information about our products or other events and news regarding Bjelin.

You can change your subscription settings and opt out of further marketing by following the link at the end of any marketing email or by contacting us directly. If you have a registered account with us, you can also unsubscribe from newsletters via your account settings.

7. How long do we store data?

We process your data for as long as we believe it is necessary for it to fulfil the original purpose of collection. The data is then deleted.

If you have active contact with us, such as warranty cases or support, we store this communication and data relating to the case for up to two years from the last interaction, after which the data will be deleted.

Placed orders and information relating to them are stored for the entire warranty period or until you close your account with us.

If you are a customer or licensee of ours, we store your data for seven years after the conclusion of the contract or obligation in accordance with Swedish law and other regulatory requirements such as Swedish or other local accounting laws.

We process relevant data for newsletters and other direct email communications until you choose to unsubscribe from them, after which they are deleted.

If you are employed by a company that is our customer, partner or licensee, we may process your data in order to fulfil contracts, agreements and for customer management. During active contact with your company, we process your data until either

1. you terminate your employment or assignment with the company
2. the company stops having an active relationship with us.

If the relationship with a customer, partner or licensee ceases, the same processes apply to the processing of your data as in the previous sections. If you terminate your employment or assignment with the company, you are responsible for informing us so that we can delete your data.

Note that certain information may need to be processed longer than described above if this is required by law, court order or in case of legal disputes and similar.

8. Who has access to your data?

We continuously strive to ensure that your data is only processed by those who really need it. In general, your data will be processed by employees of the company who work in marketing, law, finance, IT and communication, depending on the type of data. Certain data may also be processed by other employees of parent and sister companies within the Group.

In addition, data may be processed by other persons at Bjelin with whom you directly communicate.

9. Job applications and recruitment

If you apply for a job with us, we may need to process the following information about you:

• Contact information, such as name, email address, address and telephone number
• Employment history and training
• Language skills and other job-related skills
• Personal identity number or other national ID number
• Date of birth
• Gender
• Citizenship and status of work permits
• Disability and health information
• If relevant, results from drug tests, criminal record extracts and other background checks
• If relevant, results from personality and knowledge tests
• References, information obtained through these references, as well as any other information you provide to us, such as CVs, personal letters or other information about your qualifications.

After the recruitment process is over, this data will be deleted if you have not actively given us consent to store it. However, certain information may need to be processed longer if this is required by law, regulatory requirements or legal claims as a result of a legal dispute, or if it is considered to be a risk to this or similar.

10. Information shared with partners

We do not sell, rent, distribute or otherwise actively disclose your personal data to third parties. However, we may share certain information with other companies within the group of companies, partners or suppliers in order to perform the commitments and services mentioned in this policy.

11. Security, storage and transmission

We use administrative, technical and physical security measures to protect your personal data from accidental, unlawful or unauthorised destruction, loss, modification, access or use.

We may need to share your data with our international offices in Germany and Croatia, so communication may also come from these offices. We may also need to allow suppliers and outside staff to have temporary access to machines and services where your data is stored, especially to maintain our IT systems.

Any transfer of data outside the EU/EEA is done in accordance with the relevant data protection laws. Unless there is justified reason, all transfers of personal data (including transfers to potential international offices outside the EU/EEA) are based on the European Commission’s standard contractual clauses.

Personal data can also be stored and processed via IT services such as Google, Microsoft, Slack or other IT services for various cloud solutions. Please note that these services may store data on servers outside the EU/EEA, which we cannot manage. However, we always strive to maintain as high a level of security as possible, both for your and our protection.

12. You are entitled to know what data we hold about you and request rectification or deletion

You have the right to request information about the data we hold about you in the form of a digital excerpt. You may also request to correct inaccurate data, delete information about you or, in certain cases, transfer your personal data to another data controller (so-called “data portability”). You also have the right to object to the processing of certain personal data or to request limits to our processing of data about you. If you have given us consent to process your data, you also have the right to withdraw it. If you withdraw your consent, we will delete the data we process as a result of this consent.

Please note that limitation of data processing or deletion may limit our ability to provide you with relevant information regarding our undertakings to you, as well as complicate support and warranty cases. In this case, it is your responsibility to provide the relevant information required (e.g. receipt).

14. Updates to this Policy

This privacy policy (including potential attachments) may be updated periodically to reflect changes in our privacy practices. In case of significant changes, we will clearly post notification of this on our website and document in this policy when the latest change was made.
